
Exam Paper Submission Checklist
Business need
St. Mary's college is a secondary education institute operated with public funds. Every year during exam times, the administration gets many complaints from students and teachers due to printing issues in exam papers. The admin of St. Mary's college was looking to have a training session and some workshops for both teachers and printing staff to overcome this issue.
Solution
Before creating a training programme for teachers and staff, a comprehensive discussion was held with teachers, student leaders and printing staff. Then carried out a survey covering these three stakeholders. By analysing the data, it was identified that the issues in the process were as follows:

Teachers do not provide the complete papers for printing at the deadline, but some papers, graphs, images were provided later before the exam. In order to inform the printing department, the teachers used to call printing staff and give their messages on the printing papers and their deadlines.

There were many flaws in this telephone communication as the one who takes the message may not be the actual person responsible for the printing.

Such messages received via telephone or email may be misplaced by the printing staff.

If there are issues in the paper, that printing paper needs to clarify (regarding the addition of supporting docs, colour etc.) the responsible teachers were not available on call.

There were delays in getting the papers on time, as the printing staff is not aware of the exact examination date (as it was missed to mention)

Some teachers provide common instructions to all the papers they are responsible for, however, when the printing staff changes, this information may not pass to the subsequent subjects.

After analysing the survey and the above findings, it was identified that both printing staff and teachers are well aware of the process and their responsibilities. There are some issues in this process that can be avoided using checkpoints.

The following checklist was suggested and implemented as a job-aid for the printing process, rather than creating a sophisticated training programme or workshop. The below checkpoints covered the flaws of the process and could solve around 85% of the issues in the printing process.
